Uploading your data
You have now reached the stage where the dataset is ready to be uploaded and configured into PayAnalytics. In this article, we will help you with three main tasks listed below:
Uploading your data set
Configuring your data fields
Checking your imported data
Loading your dataset
You can upload your dataset from the application home screen, in a few simple steps:
Open the PayAnalytics application.
In the Datasets and analyses section, which is displayed in the application home page, click Import data. The Import Data page is opened.
Drag and drop a file into the dropbox or click inside the dropbox to select a file from your local machine.
Click Upload file in the bottom right corner of the dropbox. The system now starts ingesting your data. Once your data is successfully imported, you can proceed to the configuration of the data set in PayAnalytics.
Troubleshooting common issues
The following list offers you some tips to troubleshoot some common issues you might encounter during data upload:
Sort each data column and look for any abnormalities.
Check that each column name is unique.
Check whether any employee ID is duplicated in the data. If an employee has two rows either aggregate the data or remove one of the rows.
Make sure the value of the main pay components is not zero; otherwise no analyses can be run.
Check below the last row, and right of the last column. Remove any data that is not part of your table.
Configuring your data fields
After a successful import, the system needs to learn your data. To teach it, you need to help it to identify what each of the fields in your dataset represent. This guarantees that the system knows how to use and analyze the data in a meaningful way. This configuration is performed directly from the user interface, in the Dataset configuration screen. This screen is displayed automatically after any successful import.
The following list details the basic field configurations to perform for your new data set:
Configure the name of the data set in the Name of the dataset field. By default, the name of the data set is based on the date of upload and the file name. You can change this to the name of your choice. PayAnalytics recommends that you choose a descriptive name for your data set that will enable you to easily identify it.
Configure the date of the data set in the Date field. The upload date is automatically assigned as the data set's date. PayAnalytics recommends that you give the data set the date that accurately reflects the salary data represented therein. Keep in mind that the currency exchange tables and data sets are consolidated based on the dates.
In the Employee ID field, under the Employee ID and Group section, map the employe ID to the corresponding field in your data set. The drop-down list contains all the column headers from your uploaded file.
In the Compensation field of the Compensation section, select the field of your data file corresponding to the compensation information. This field will be then used as the default compensation data in your graphs. For more information on complex and additional compensation settings see Complex compensation data & modifying data.
In the First demographic variable field of the First demographic variable section, select the column in your data file which corresponds to the main demographic variable. If that variable represents gender, select the Contains gender checkbox.
If you have checked the Contains gender box, a secondary section is displayed. In that section, map the genders to the values in your data file (Male, Female, Non-binary, and Not reported). Once you have done the mapping, a summary will be displayed in the Column values section. Incorrect values in this section might indicate an issue with the data or the configuration.
The following list details optional field configurations you might also want to use:
If your data file contains another demographic variable, you can map it in the Second demographic variable section. Typically, the second demographic variable is ethnicity. Currently, the system can only support two demographic variables.
In the Job evaluation section, you can map job value points, in case you plan to compare pay for work of equal value. If you have conducted such job evaluation in PayAnalytics, you can select the job evaluation that will merge with your uploaded data based on the selected column that matches the job of the job evaluation. For further information on job evaluation setup, refer to Job evaluation.
In the Other settings section, select a color palette for your data. For more information about color palettes, see Customizing color palettes.
Checking your imported data
Once your data set has been successfully configured into PayAnalytics, we recommend checking how the system reads your dataset in the section Dataset Preview to ensure the data is complete and reflected accurately.
Open the summary & access to see how the system reads your dataset and who has access to it. Check the following points:
The total number of employees matches your data set.
Your numeric data fields (such as compensation, hours or tenure) are read as numeric columns.
Your text data fields (such as job family, employee ID or demographic variable) are read as text columns.
The data is accessible to authorized team members only. For more information on the configuration of access control, see Detailed access control.
