Exporting pay transparency reports in bulk
The Pay Transparency Export feature allows you to generate individual pay transparency reports for a group of employees at once and download them in a single file. This way, you can comply with Article 7 of the EU Pay Transparency Directive (EUPTD), according to which workers can request and receive written information about their pay level and the average pay levels by gender for workers performing the same work or work of equal value.
PayAnalytics has supported this requirement since the introduction of the employee pay transparency report, well suited to a single, ad hoc request. Pay Transparency Export builds on it for larger-scale use. Instead of opening and exporting each employee's report individually, you can define the group, for example, a department, a location, or an entire workforce, and generate and download all their reports together.
Prerequisites
Before you generate a bulk pay transparency export, make sure that:
A pay equity analysis has been run for the dataset containing the employees you want to report on. Pay Transparency Export draws its employee list and comparison groups directly from a completed analysis, so at least one analysis must exist before you can select it.
The category of worker used in that analysis reflects the comparison groups you intend to report on, since this determines the Employee category shown in each report.
Accessing Pay Transparency Export
In the left navigation menu, go to Inform and click Pay Transparency Export. The Bulk Exports page opens.
The first time you visit the page, no exports exist yet:

Generating a bulk export
To generate pay transparency reports for a group of employees, proceed as follows:
Selecting the analysis

Click the New Bulk Export button in the center of the page. The New Bulk Export dialog opens:

Click Select analysis. The following Select analysis dialog opens, listing your datasets and the analyses run against each dataset:

Use the search bar to find a dataset or analysis by name. You can also click Filter by label to narrow the list to items tagged with specific labels. In the panel that opens, select one or more labels. To select or unselect all of them, check the Check all or Uncheck all box above the labels. The labels you have selected appear as tags above the analysis/dataset list, and you can click Clear label filter to remove them.
Click the Select button next to the analysis whose employees you want to report on. The dialog closes, and the New Bulk Export dialog now shows the chosen Analysis and Dataset. To select a different one, click Change analysis.
Naming the export
In the Name of the export field, enter a descriptive name. This field is mandatory. Choose a name that will help you identify this export later in the list, for instance, one that reflects the department, location, or purpose of the request. This proves especially important when you generate several exports from the same analysis.
Optional step – narrowing the employee group
By default, an export covers all employees in the selected analysis. To report on a subset instead, such as a specific country or education level, add one or more filters:

Click the Add filter button. The Select filters panel opens, listing the columns available in the underlying dataset (EmpID, Gender, Ethnicity, Country, Education, etc.), as presented in the figure below:

Use the search bar or check a relevant box directly to select the columns you want to filter by. You can also Check all and Uncheck all. Then, click Apply. Each column you select appears as a filter chip in the New Bulk Export dialog.

Click a filter chip to open its picker. What you see depends on the column's type:

For a categorical column, such as Education, the picker lists every value in that column as a checkbox, with Check all and Uncheck all options. Select the values to include, for example:

For a numeric column, such as Total Compensation or Time In Role, the picker offers Min and Max fields, pre-filled with the column's actual range as placeholder values. Narrow them to the range you want.
For a text column, such as EmpID, the picker shows a Contains field where you can search for matching text.
Click Apply to confirm your selection.

Repeat for each additional filter you need. Filters combine cumulatively: only employees matching a selected value in every active filter are included in the export. The Total employees count at the bottom of the dialog updates automatically as you adjust filters, so you can confirm the scope of the export before generating it.
Use the x on a chip to remove a single filter. To remove all filters, click Clear filters.
Generating the reports

Once you are satisfied with the export name and, optionally, the filters applied, click Generate Reports. This button becomes active when a name has been entered, as shown below:

Report generation starts, and the dialog closes.
You are redirected back to the Bulk Exports page, where the new export appears in the Export list. Generation runs in the background. When it completes, the status of the export changes from In Progress to Completed.
Downloading and using the exported reports
Downloading the export
In the Export list, click Download next to the export you want. Your browser downloads a ZIP archive, named after the export and its creation date.
Report content
Extract the archive to access its contents. As you can see, there is one Excel file per employee included in the export, each named PayTransparencyReport_EmployeeID <ID>_<date>:

Each report contains:
Employee ID and Effective date, which identify the employee and the date the underlying analysis data reflects.
Employee category, which is the worker's comparison group, based on the category of worker configured in the analysis, such as job family and grade.
A compensation comparison table, listing each relevant compensation component alongside the Employee value, the Average male employee value, the Average female employee value, and the Average employee category value.

Managing existing exports
The Export list on the Bulk Exports page keeps a history of every bulk export you generate:

It includes a table with the following columns:
Name, Dataset, and Analysis, which specify the export and the data it was generated from.
Employees and File Size, which show the number of employee reports included and the size of the ZIP archive.
Status, which tells you whether the export is still generating (In Progress) or has completed (Completed).
Creation Date and Expires, which state when the export was generated, and the date after which it can no longer be downloaded.
On this page, you can:
Use the sort and filter icons in the column headers to locate a specific export as the list grows.
Click Refresh above the table to check on an export that is still generating.
Click the New Bulk Export button next to Refresh to start another export directly.
